ALTAMAHA TECHNICAL COLLEGE

PROCEDURES FOR FEES FOR USE OF FACILITIES

 
  1. Facilities available for rental at Altamaha Technical College can be reserved for either a full day or a half-day.  A full day is considered to be for a period of more than four hours, and a half-day is considered four hours or less.  Rental of each room, item of equipment, or service is priced separately and according to an approved fee schedule.  Selection of different items listed on the fee schedule affects the user's overall cost of renting the facility. 
  2. Rooms, equipment, and services are included in the cost estimate for an event planned at Altamaha Technical College.  A pre-event checklist will be provided to the user to assist in preparation of the cost estimate and in confirmation of reservations.   
  3. Use of facilities at the agreed-upon fees listed in the fee schedule recognizes adherence by the user to the guidelines stated herein as well as in other publications of Altamaha Technical College, including "Facilities Use Policy" and "Procedures for Facilities Use."  
  4. Users are to request rooms, equipment, and services at the Altamaha Technical College at least thirty (30) business days prior to a planned event.  At this time payment of a reservation deposit equal to 20% of the room rental will be required to confirm booking of the event.  Reservation deposits will be applied against total charges incurred in the agreement.  Reservation deposits will be waived for governmental agencies and authorized 501-c (3) organizations.  IRS-documented proof of authorized status as a 501-c (3) organization is required.             
  5. Available services involving fees include those listed below.  Administrator-in-charge.  An administrator-in-charge will be available during normal working hours -- Mondays though Thursdays from 8:00 am until 10:00 pm.  The administrator-in-charge is available durng non-regular hours by special contact, exclusive of holidays.  After these hours an initial fee plus an hourly fee will be charged for an administrator-in-charge to be present.
    • Food and drink service.  Altamaha Technical College can arrange for morning or afternoon beverage service for groups of twenty-five (25) or fewer.  Beverage service for groups of more than 25 or food service for snacks or meals may be provided by an approved caterer.  Fees required for food and drink service are listed in the fee schedule.
    • Business services.  Business services (copies, Faxes, etc.) are available during normal operating hours (8 a.m. to 5 p.m.) Monday - Thursday, exclusive of holidays, according to the fee schedule.  At the time of the pre-event checklist, usage and charges will be estimated.  Actual charges incurred will be billed after the event.
    • Audio-visual technical services.  Audio-visual and other equipment is available for rental and use within Altamaha Technical College but not away from the campus.  Services are available for use on the following equipment:  audio-visual; sound; video/data projection; videotaping; and VCR, DVD, and TV.  If any of the above services are included in the written agreement for the event, audio-visual technical services will be provided according to the fee schedule. Services of an audio-visual assistant may also be needed and will also be provided according to the fee schedule. 
    • Security.  Security personnel are on duty at Altamaha Technical College from 5:00 p.m. until 10:00 p.m., Monday through Thursday.  For events held at other times and with attendance of one hundred or more expected, additional security personnel will be required.  One additional security officer will be required for each additional one hundred persons of expected attendance.  Associated fees will be charged according to the fee schedule. 
    • Traffic and parking control.  Additional officers to assist with traffic and parking will be required when events will involve more than three hundred participants.  Associated fees because of these additional officers will be charged according to the fee schedule.
